ThroughFilm is committed to ensuring this policy complies with the UK General Data Protection Regulation (GDPR), and we have done a data audit so that we know what personal information we hold and process. We also make sure that our online systems, databases and storage systems are GDPR-compliant and this will be reviewed and updated on a regular basis.

Visual identity & personal information
If you agree to be involved in filming and we work together on a project, we will likely have access to information such as your name, email address, telephone number and other information you wish to provide, and if applicable, your visual identity.
We also supply release forms, by signing the release form you authorise ThroughFilm the right to take, edit, alter, copy, exhibit, publish, distribute, and make use of any and all video taken of you to be used in and/or for any lawful purpose.
The authorisation extends to all languages, media formats or markets now known or later discovered.
You waive the rights to inspect and approve the finished product in which your likeness appears.
You agree that you have been compensated for this use of my likeness or have otherwise agreed to this release without being compensated. I waive any right to royalties or other compensation arising or related to the use of the video.
You understand and agree that these materials shall become the property of ThroughFilm and will not be returned.
You can withdraw this consent at any point or get a copy of ThroughFilm’s Data Processing Policy by contacting hello@throughfilm.org
You have the right to withdraw your consent for any of the above at any time and to ask us to remove your data from our records. But please note: if photos and video footage been used in any published materials (e.g. reports) or online (e.g. on social media) then it will not be possible to delete them from those publications or entirely from those online sites. You can also ask us at any time to see what data of yours we hold, and you can also ask us to correct it or restrict what we do with it
How we collect your data
You directly provide ThroughFilm with most data we collect. We collect data and process data when you:
Visit the throughfilm.org website
Submit a contact form through the ThroughFilm website.
Agree to be involved in filming and share information relating to yourself and personal story in the information gathering part of our pre-production process. This takes place either through an in person/phone discussion or over email. This information is then collected for the purpose of helping us plan our approach and filming activities.
Agree to be audio and visually captured by ThroughFilm.
Sign consent forms for us to keep on file relating to the image capture of you.
Use of the information
We use this information for these purposes:
Create films on behalf of our clients that meet the needs outlined in their brief when commissioning us.
Create films on behalf of ThroughFilm, to use in marketing or promotional activity of our services.
Communicating with you for the purpose of filming preparations or for post filming review.
Communicate with you in response to any messages or queries submitted via the website.
Internal record keeping.
Ensuring permission to use video and photography is granted.
Storage of the information
We will hold the information until the purpose of the reason we collected it is fulfilled, or until a request to delete it is made, in accordance to your rights.
Any personal and physical data you share with us will be stored securely by ThroughFilm for the duration agreed by ThroughFilm and the customer and disposed of safely once it is no longer needed and at ThroughFilm’s discretion.
We will keep your photographs and videos for a minimum of 5 years. Once this time period has expired, we may, at our discretion, securely delete the data from both harddrive and cloud based systems. Whilst we have them we will store them securely.
Security
ThroughFilm will not share your information with anyone outside of the organisation. We take care to ensure your information is stored securely. We do this by taking appropriate steps in our organisation to protect the information collected.
Please be aware that whilst we take precautions to protect the loss or misuse of the data we gather, we cannot 100% guarantee the security of any information you submit, and you do so at your own risk.
Changes to policy
ThroughFilm will review and update this privacy policy to reflect customer feedback and to make sure it complies with the latest regulations.
